Job Opportunity: Office Manager

Position Type: (Hybrid) Part/ Full-Time (30-40 hours a week)

Location: Will work out of our office in Melrose, MA. Work from home options available, but the ideal candidate will be able to be in the office.

The Role
As an integral part of our team, you’ll:

Project Support & Coordination

  • Apply for and manage building permits, licenses, and inspections across multiple municipalities

  • Coordinate with designers and project managers to order materials 3–4 weeks ahead of install dates

  • Ensure materials are ordered accurately, delivered on time, and logged properly

  • Schedule dumpster and portable toilet deliveries/pickups for job sites

  • Call Dig Safe before any sitework begins; Schedule and confirm all necessary inspections

  • Handle warranty claims with clients and trade partners, ensuring clear and timely communication

Administrative Management

  • Manage client and vendor invoicing, including tracking payments and sending follow-up reminders

  • Organize digital and physical files, contracts, purchase orders, and permits

  • Communicate professionally with clients, subcontractors, vendors, and town officials

Financial & Vendor Support

  • Track project budgets and expenses; flag variances

  • Support bookkeeping and accounting with invoice categorization, receipts, and expense reports

  • Maintain up-to-date records of vendor pricing, payment terms, and delivery timelines

Team & Culture Support

  • Help onboard new clients and vendors on our online portal 

  • Maintain and improve internal processes to boost efficiency

  • Experience: Hi, Sam here. I have a degree in Marketing, and Graphic Design and here I am a female General Contractor and designer running a rapidly growing Design & Build business. You don’t need a degree to tell you what you’re good at. Have a passion for Design? Do you feel some type of “high” when checking things off your to-do list? Pay: Hourly $18-$20 an hour

Ideal candidates will be flexible, organized, reliable and energetic. They should have good instincts and a positive attitude. They should be able to express themselves well verbally and in writing.
